Keep ELAP-Ready Records

How to get the most out of the Compliance feature in Nectar

The ELAP Report, available under the Compliance tab in the Manager's Portal, compiles key operational records that may be useful when documenting colony inventory and losses. Managers can export the report for any selected date range, allowing them to review historical hive inventory, movements, dead-outs, and hive fixing methods.

The accuracy of the report depends entirely on the data recorded throughout the season.

Key Data to Record

To ensure your ELAP Report is as accurate as possible:

  • Record hive movements immediately after colonies are relocated.

  • Record deadouts and the reason of death when they are discovered.

  • Record hive fixing methods if/when inventory is restored.

Tips

  • Encourage/require crews to enter data consistently.

  • Review reports periodically to identify missing or incomplete records before they're needed.

Step 1: Establish an accurate starting inventory.

Before the season begins- or before selecting the reporting period- ensure your operation's inventory accurately reflects the colonies you manage.

This includes:

Why it matters

The ELAP Report uses your recorded hive movements to determine where colonies were located and how inventory changed over time and why. Having hives tagged and yards established makes it easy for crews to scan hives and record movements accurately. Missing movements or not logging deadouts can result in inaccurate inventory totals per county for a reporting period.

Step 2: Record inventory changes as they happen.

As crews work throughout the season, they should continue recording events that affect colony inventory.

The most important records for the ELAP Report are:

Hive Movements

Record every movement between yards.

  • This creates an accurate history of where colonies were located throughout the reporting period.

Dead-Outs

Record dead-outs as soon as they are discovered and the reason for the deadout.

  • This ensures colony losses are reflected accurately in the report instead of relying on estimates later. Including the reason is also crucial for determining ELAP-eligible losses.

Hive Fixing Methods

When replacing or repairing a dead colony, record the hive fixing method used.

  • This documents how inventory was restored and provides additional context within the report. It also displays hives that took severe intervention to keep alive which the USDA also considers.

Best Practice: If your crews consistently record these three activities the ELAP Report will accurately reflect the major inventory changes across your operation. Make it a requirement for your crew to track these things in the Nectar app.

Step 3: Export your ELAP Report.

When you're ready to review your records or submit a report, navigate to the Compliance tab in the Manager's Portal and generate an ELAP Report for your desired date range. You can see how to do that here.

The report includes 4 tabs:

  • Summary per county

  • Summary per yard

  • Inventory

  • Movement summary

Managers can use the report to review historical inventory changes, understand colony losses over time, see movements between counties and organize operational records for the selected reporting period.

If additional documentation is needed for an ELAP application, Nectar makes it easy to access supporting operational records such as inspections, treatments, and feeding history elsewhere in the platform.
